Personal Information Protection Policy

World Brands Collection Hotels & Resorts, Inc. (hereinafter referred to as “we,” “our,” or “us”) is aware that it is important that personal information we acquire is protected in compliance with the Act on the Protection of Personal Information and all other applicable laws, regulations, and codes (hereinafter collectively referred to as “Personal Information Protection Law”), and we will handle such personal information as follows.

1. Our Awareness of Importance

We handle personal information in the course of doing our business. As a “business operator handling personal information” as defined in the Act on the Protection of Personal Information, we are aware of the importance of the fact that this personal information is protected by Personal Information Protection Law, and we will strive to protect such personal information when we acquire, use, manage, and otherwise handle it.

2. Legal Compliance

We handle personal information in the course of doing our business in compliance with Personal Information Protection Law.

3. Identification of Intended Uses

We use personal information exclusively to achieve its intended uses and for no other purpose unless otherwise required by law.

Unless otherwise provided by law, we will announce our intended uses of personal information by posting them at stores and sales counters and on websites and by other appropriate means.

We take security control measures, such as supervising our officers and employees and our contractors and taking countermeasures against unauthorized access, in order to prevent incidents involving personal information, such as falsification, destruction, loss, or leakage.

We will not provide personal information to any third party without the consent of the customer to whom the personal information relates or unless permitted by law.

9. Contracting-out of Services

If we contract out all or part of our services to an external party to the extent necessary to achieve the intended uses of personal information, we will appropriately manage and supervise the contractors, including entering into agreements with them that authorize us, among other things, to manage their confidentiality obligations for personal information and to supervise their compliance with these obligations.

10. Request for Disclosure

At the request of a customer for disclosure, correction, deletion, etc. of his/her personal information, we will appropriately handle the request in accordance with Personal Information Protection Law.

11. Compliance with Internal Rules

In order to ensure the protection of personal information, we establish internal rules and ensure that the internal rules are complied with by our officers and employees. We will also provide training and awareness programs to our officers and employees on a continuous basis.

14. Intended Uses of Personal Information

FAUCHON Hotel Kyoto (hereinafter referred to as the “Hotel,” “we,” “our,” or “us”) uses personal information acquired by us of our customers, business partners, etc. solely to the extent necessary to achieve the following purposes:
(1) To contact our customers
To contact our customers for any reason, such as finalizing or confirming reservations or responding to inquiries or requests.
(2) To provide services
Apart from the above (1), to provide services, such as booking taxis for customers, providing meals to customers (catering to dietary requirements of individual customers), cleaning guest rooms, receiving payment and settling bills, and sending out goods and services purchased by customers.
(3) To provide information to our customers
To send information on specific promotional campaigns and special offers based on customers’ usage history of the Hotel and customers’ interests, hobbies, and preferences.
This includes displaying content and services tailored to our customers’ preferences based on their browsing history and other data on our websites or on apps for our official social media, such as Facebook, Instagram, X, LINE, and YouTube.
(4) To optimize ad distribution
Based on customers’ interests, we may display highly relevant ads on our or third-party websites.
(5) To communicate information on loyalty programs and member privileges
To communicate information on points and privileges based on customers’ usage of our goods and services and to send special offers related to our loyalty programs.
(6) To provide information on our affiliates
To communicate information on facilities, goods and services, etc. of our affiliate companies and partners.
(7) To improve our management, business, goods, and services
To conduct research and questionnaire surveys of our management and business, or goods and services, and to provide training programs for the Hotel’s employees that are intended to improve customer service.
(8) To respond to administrative notifications and guidance given by law or from administrative authorities

15. Information on Shared Use

We may share personal information in our possession to the extent necessary to achieve the intended uses of the personal information. The shared personal information will be managed responsibly by the person responsible for managing personal information.

Name, address, telephone number, email address, and other information necessary to provide services to customers. *Shared personal information will not include credit card information.
(2) Scope of entities with which personal information will be shared

*Fauchon Hospitality was established in 2018 as a hotel business under the FAUCHON brand. We have a hotel license agreement with Fauchon Hospitality.

The intended uses listed in (3) through (8) of paragraph 14 above, “Intended Uses of Personal Information.”
